Perform various tasks, such as managing schedules, handling correspondence, organizing meetings, and maintaining records, ensuring smooth operations and effective communication within the organization.

Responsibilities
- Handling administrative requests and queries from senior managers
- Maintain calendars, arrange meetings and appointments and provide reminders
- Preparation and distribution of scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain CRM
- Submit and reconcile field expenses and expense reports
- Provide general support to visitors
- QuickBooks categorization and report management for both vendors and customers
- Make travel arrangements for management and crew
- Answer phones for multiple water systems and route messages into respective ticketing system
- Take messages and route correspondence
- Complete and submit reports to state agencies and clients, including inspection reports and compliance documents, as well as maintaining schedules for this reporting
- Collect and manage mail and fax communication
- Manage customer accounts in billing software
- Produce marketing reports and sales presentations and manage seo analytical reports
Requirements and skills
- Proven experience as an Administrative Assistant, Executive Assistant or in other secretarial position
- Flexible with time and strong, clear communication skills
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office
- Working knowledge of QuickBooks
- Proficiency in English
- Exemplary planning and time management skills
- Up-to-date with advancements in office gadgets and applications
- Ability to multitask and prioritize daily workload
- High level verbal and written communications skills
- Discretion and confidentiality
- Make decisions quickly and efficiently with little supervision
- High School degree; additional qualification as personal assistant would be considered an advantage

Salary: $12.00 - $14.00 per hour (depending on experience)
